We have a range of packages available which meet the needs of all involved with the properties which we manage.
- Efficient
The Efficient Package includes all of the standard services required by a Management Company.
- Dynamic
The Dynamic Package includes all of the services from our Efficient Package plus a host of services that will assist in augmenting the value of the development and improving the lives of those residing in the development.
It will significantly reduce your administration workload.
- Premium
If you want a development to fully realise its potential and to create a high-quality living environment then we recommend the Premium Package.
This removes all administration workloads, vastly improves the lives of leasees and sub-tenants on the development and should both save money in the long-term as well as augment the value of the property.
Efficient Package
Our Efficient Package includes all of the standard services required by a Management Company. We have also included some complimentary additional services that we believe are essential in maintaining a development.
Maintenance and repair
- Investigate the competence of contractors and inspect their public liability insurance.
- Deal with repairs and any scheduled cleaning.
- Supervise all work carried on at the development.
- Keep a schedule of all equipment and machinery, arrange for annual service contracts where necessary and review them each year.
- Prepare tenders, seek quotations and appoint the contractors required for maintenance and cleaning.
- Provide scheduled maintenance visits to analyse building requirements – bi-weekly. This could include among others; fire prevention equipment manintenance, landscape maintenance, regular service to heating and air conditioning systems, inspection of plumbing and electrical items and upkeep of wood, roofing & other building components.
Financial & Accounting
- Maintain the Management Company bank accounts and reconcile the monthly statements.
- Maintain service charge accounts records for all owners.
- Carry out bookkeeping functions.
- Prepare the budget and meet with the Board of Directors to finalise.
- Provide a copy of the budget to each owner showing a detailed breakdown of costings.
- Apportion the service charges in accordance with the lease.
- Manage the collection of service charges from all owners.
- Examine, negotiate and pay all contractor invoices.
- Liaise with the company auditor in relation to the annual accounts, and issue accounts documents to all owners prior to the A.G.M.
- Advise the Board of Directors on the required level of sinking fund each year.
Legal & Administration
- Circulate the result of surveys to Directors.
- Payment of the annual insurance premium to comply with the Lessors insurance obligations.
- Handle all issues in relation to utilities in the common areas.
- Deal with the Companies Office in relation to all routine company law matters.
- Liaise with the Board of Directors on the A.G.M. and circulate all owners with the Notice and Agenda, including statutory accounts documentation.
- Attend all general meetings of the Company, and meetings of the Board of Directors if required.
- Act as Company secretary and carry out all functions of that position.
- Maintain a register of members of the company.
- Advise the Board of Directors on the most suitable location for the health & safety file, title deeds, company seal, etc.
- Provide secure storage for company seal ,title deeds, health and safety file and other Management Company correspondence and documentation.
General
- Deal with all telephone and written communication from owners and residents in relation to all issues relevant to the remit and responsibilities.
- Maintain a diary of events and incidents at the development.
- Issue notices to existing owners and tenants.
- Maintain a computer database of information in relation to all owners.
